Plan Your Event

Event Planners, please secure event approval from your ministry oversight prior to submission of your communication request, while taking into consideration events already on the event/facility calendars below.

  • Submit your request (60 days in advance) for maximum effectiveness. Events submitted with less advance notice will be impacted by the inability of supporting teams to execute needed materials in a timely fashion.

  • Be sure to communicate all needs to the Communication Team in order to minimize change requests and delays.

  • Confirm all aspects of your event with the Communication Team two weeks after submission to give final approval before communication begins. It is almost impossible to revise all assets after they have been launched.

  • Understand how your event is categorized in order to understand how it will be rolled out.

    • Tier One - Custom promotion (all church focus and VisonBuilder initiatives - Novemberfast, Conference, Oaxaca, etc.)

    • Tier Two - 5 week lead time including Registration Page, C3 Video Update, C3 Email Update, Lobby Loop, 2 dedicated promotional emails, 2 dedicated social media posts, 5 advance Weekend Gathering Host mentions. (large demographic focus - Chili-Cookoff, Spirit Night, Team Awards Night, etc.)

    • Tier Three - 2 week lead time including Registration Page as needed, C3 Video Update, C3 Email Update, Lobby Loop and 2 dedicated Weekend Gathering Host mentions. (one-off smaller demographic fun/social events and all church regularly recurring events - C3Kids Night Out, Couples Game Night, Student Tribe Night, Dinner Parties, etc)

  • Sincerely, assume that no one will see any of the promotional materials. The most effective form of communication for your event is contacting potential attendees in person and early in the promotional process.

  • Be sure to utilize an event planning outline with your team to be sure you’ve covered all bases for the event. You are responsible for your event from the initial advertising through the final clean-up. Be sure to debrief after your event and record lessons learned for future events. Be sure to communicate input to the Communications Team As well.
